Mail Everything takes data security and privacy very seriously. Below we have outlined how we use and view the data that is supplied to our organization.

What personal data we collect and why we collect it

Mail Everything only collects personal data to perform it’s business processes as requested by our clients. We treat the data that is supplied to us by our clients very seriously – and never supply or sell that data to anyone. We do not mine, harvest, or broker any data. We use and store supplied PII such as name, email, and physical address to ship packages and mail as listed out by our clients. We also collect and store company information and contact information of our clients and vendors.

How we collect personal data

Contact forms

Mail Everything collects information requests through the use of contact forms on our website. This information includes Name, Company Name, and Company Email. This information is only used for contacting in regards to an information request. Mail Everything will never use this data for any other purpose. This data can be requested to view by the user, and deleted at the user request at anytime.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Content on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

Users who have accounts our site, and company consumer shipment data that is supplied is collected to provide the user with advanced analytics to better understand their business flow. This data is not shared with any third party, and can be requested to be deleted at anytime.

Ship to Data supplied by Clients

Mail Everything receives ship to data, including mailing lists, shipping files, and eCommerce orders directly from our clients. This data is always securely transmitted, stored, and processed. This information is sent to Mail Everything only for the purpose of completing tasks and jobs as required per client instruction. This data typically consists of: Email Address, Name, Company Name, Address, and Phone Number.

Who we share your data with

Mail Everything shares user data with your company administrator in addition to the Mail Everything administrator. This information includes your username, email, password, contact information, and profile picture.

Your company supplied production data and shipment information is only shared with appropriate parties when necessary to finish our task as outlined by the user. This data is also accessible by the client user and mail everything user with appropriate permission levels. Mail Everything will never share, or sell, any user owned data with any third party that is not required to complete a task outlined by the user.

Mail Everything utilizes several third-party organizations for some business practices. User data that is cloud stored is stored on Secure Rack servers, and Microsoft Azure secure servers. In specific requests to these storage services, they can retrieve and access data from them, but will never process data or transfer the data to a third party without Mail Everything’s knowledge. They do not store any data without Mail Everything’s permission, and once data is deleted from Mail Everything’s system, the data is permanently removed from these cloud storage providers.

Example of data sharing: User requests Mail Everything to send a parcel to a customer on it’s behalf. That customer’s PII (email, name, and physical address) is sent to Mail Everything by a secure HTTPS encrypted API channel. We then transmit that data to the appropriate vendor using a secure method to verify the shipping address and create the shipping label. In turn, the shipping vendor (USPS, DHL, FedEx, UPS, etc.) uses this information both visually (by looking at the label) and electronically to assist in delivering the parcel. This shipment record is stored on Mail Everything’s secure cloud based portal. That data record is viewable by a user within your company who has the appropriate permission level, and by Mail Everything staff. This data is stored on Microsoft Azure servers, and Secure Rack servers. All data records are encrypted and password protected.

How long we retain your data

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Mail Everything will retain this data as long as the user is active in our system.

Company supplied consumer data that is supplied for the purpose of completing production related tasks set forth by the user is retained, and is not used, edited, or deleted unless prompted to do so by the user.

What rights you have over your data

If you have an account on this site,  you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Mail Everything does not own any data that is supplied by the user for the purpose of completing a job outlined by the user. Mail Everything will never use this data for any reason unless directed to do so by the user.

Where we send your data

Any data that is supplied for the purpose of production, mailing, and/or shipping, will be transferred to the appropriate party (USPS, FedEx, DHL, UPS, etc.) for processing via a secure method in order for them to complete the delivery of the mail and parcels we supply on behalf of our customers. User data and other consumer PII is not shared or sold to any third party for use beyond what is required to perform the task set forth by the user.

Your contact information

Your contact information can be viewed by Mail Everything staff in order to better perform our duties. Users will have access to their contact information to edit, and delete as necessary. Mail Everything will supply any user information upon request and will delete or make the user aware of how it is being used.

Additional information

How we protect your data

All data is stored and transmitted via secure encrypted channels in accordance with our ISO 9001.20115 data standard. Only authorized Mail Everything staff members will have access to your, and your customers data. Any locally stored data is stored with password protected and encrypted devices. All cloud stored data is only hosted by approved vendors through secure methods of encryption and transmitting the data. Any site that can view your user information or company supplied production data is HTTPS encrypted and is password protected.

Mail Everything will present, inform, and delete any data upon request.

What data breach procedures we have in place

Mail Everything has implemented several steps should a data breach occur that impacts you or your customers. The primary point of contact for any company/user that has been affected by a breach will be notified within 24 hours to minimize impact. Upon notification, a full investigation will be in place to determine the cause of the breach, and the full scope of the breach.

Mail Everything has a written set of data security rules as per our ISO 9001.2015 certification which assists in managing, preventing, and information about data breaches.

All Mail Everything staff members are trained by our Data Security Officer in how to identify a breach, and how to safeguard any user supplied PII.

What automated decision making and/or profiling we do with user data

Mail Everything does not do any profiling or decision making with customer or user data. User data is never shared or sold for any non production related event.
